This describes how we handle information when a venue uses Lumio, when someone calls a phone number answered by Lumio, and when someone visits this website.

lumio.software uses Google Tag Manager, Google Analytics and Google Ads to understand how visitors use the site and to measure whether our advertising leads to booked demos. These tools use cookies and collect information such as the pages you view, your device and browser, your approximate location, and whether you tapped our phone number or booked a demo. We do not send them your name, email address or phone number.

You can opt out of Google Analytics with Google's browser add-on at tools.google.com/dlpage/gaoptout, and manage ad personalisation at adssettings.google.com. Demo bookings made on this site are handled by Cal.com.

When someone calls a number answered by Lumio, the call is recorded, converted to text, and stored. This is how the system understands the caller and how the venue can read what was said afterwards.

Recording laws differ by state. Some require every party to consent. Venues using Lumio are responsible for meeting the requirements that apply where they operate, and we will add a spoken disclosure to the greeting on request.

From callers: phone number, name if given, and what was discussed on the call, including any booking details.

From venues: the information you enter to configure the system, such as hours, rooms, prices and the answers you want callers to hear, plus the email addresses of staff who sign in.

Call audio and transcripts pass through the suppliers who run the voice pipeline: Vapi, Deepgram, ElevenLabs, and Anthropic. Calls and texts are carried by Twilio. Payments are handled by Stripe, and confirmation and reminder emails are sent through Resend. Data is stored with Neon and served through Cloudflare. Sign-in is handled by Clerk. Website analytics and ad measurement are provided by Google, and demo bookings by Cal.com. Each processes data only to provide their part of the service.

We do not sell information to anyone, and we do not use one venue's data to serve another.

Every venue's data is isolated at the database level and enforced on every request.

Call recordings, transcripts, bookings and contacts are retained while a venue is using Lumio. A venue can ask for its data to be exported or deleted at any time by writing to hello@lumio.software.

Depending on where you live you may have the right to ask what we hold about you, to correct it, or to have it deleted. Write to hello@lumio.software and we will respond.

If this changes materially we will say so here and update the date above.
